Where it is stored
Your Workspaces, Collections, Documents and account data are stored on Microsoft Azure in the West Europe region, in the Netherlands. The application that serves them, the diagnostics and this website run in the same region. Service secrets are kept in Azure Key Vault in Sweden, and the emails we send go through Azure Communication Services with data kept in Europe.
Storage keeps three synchronous copies of every record inside the same data centre, encrypted at rest. Every connection to Meridiaan uses TLS 1.2 or later.
Who can read it
The members of a Workspace, each according to their role, and the Agents they connect. An Agent reaches a Workspace only after someone with access authorizes it, with OAuth or with a token, and it can do exactly what that person can do.
Outside of that, only the Meridiaan team has access to the infrastructure, to keep the service running.
What we never do with it
We do not train any AI model on your content, and we do not sell it or share it for advertising.
The service itself does not send your content to AI models: the only Agents that read your knowledge base are the ones you connect.
Taking it with you
The Owner of a Workspace can export it at any time from the Workspace settings: a ZIP archive with a JSON file for every Collection and one for the Workspace, with every Document, archived ones included. It holds knowledge only: no members and no service data.
Export works on every plan, the free one included, and also when a Workspace is read-only because a paid plan has ended.
Deleting it
Documents, Collections and whole Workspaces can be deleted from the interface by whoever has the right role. Deleting a Workspace removes all of its content.
You can delete your account from your User page, and an Organization you administer from its own page. Deletion is immediate and cannot be undone: the Organizations you administer alone go with your account, together with their Workspaces. What you wrote in other people's Workspaces stays with them, with an unknown author; technical telemetry expires within 90 days, and payment receipts stay with Paddle.

Apart from Microsoft, which hosts the service, none of them receives the content of your Workspaces. The legal detail, including transfers outside the European Union, is in the Privacy Policy.
